How VoiceBox Intelligent Transcription helped The Centre for Gastrointestinal Health increase its efficiency

Background

The Centre for Gastrointestinal Health provides gastroenterology, metabolic and dietitian services to its local community. It opened in 2023 and has seven locations across regional and metropolitan New South Wales.

The problem

Doctors at The Centre for Gastrointestinal Health were using antiquated processes to transcribe their patient notes. They were outsourcing their dictations to an external provider, which they found were not meeting their quality standards.  

The Centre also had an in-house typist who would download audio files from a dictaphone, type up and send the letters to the doctor for approval, and then send a physical copy of the letter to the referring doctor. This process was time-consuming and inefficient. The typist also struggled to meet the growing demands that stemmed from the practice expanding.

The solution

Instead of writing a letter, doctors can dictate into the fully secure and data-protected VoiceBox IT app which uses artificial intelligence (AI) to transcribe in real time. The letter is then sent to the VoiceBox IT team of medical proofreaders who review and format the letter. 

It is then sent back to the doctor for approval within 36 hours. Once approved, the letter is filed in the practice management software and also delivered to the referring doctor or specialist and/or the patient.

Another feature that VoiceBox IT offers is that it can be integrated with practice software like Gentu, which can assist the doctors to attach photos from procedures, procedural reports, scan reports and blood test results to the letter.
